SPONSORSHIP INFORMATION
Thank you for considering supporting our annual North Carolina User Group Meeting! This event will allow health systems in NC and the surrounding areas to network with colleagues, share experiences, and collaborate on our use of Epic to improve the quality of care we collectively provide to our region. The 2025 in-person event saw a return of more than 600 attendees.
Sponsor support pays for much of the cost of this highly anticipated networking event, and degrees of sponsorship are organized into the packages outlined below.
Please note that the sponsorship levels below are from the 2025 event. Details for the 2026 event are coming soon! If you are interested in sponsoring or are wondering about your company's eligibility to sponsor the 2026 event, please see the "How To Become A Sponsor" section below and reach out to a member of the sponsorship committee using the email addresses provided.
HOW TO BECOME A SPONSOR
Sponsorship is by invitation only and limited to technology and education companies that provide value to an Epic implementation and are not physician-owned. If your company is private and physician-owned, submits claims to federal or state health programs (e.g., Medicare, Medicaid, or TRICARE), or provides items or services for which one or more of the participants are reimbursed for under a federal or state health program, contact your NCUGM steering representative to discuss before proceeding with any sponsorship. Your sponsorship must be pre-approved before registering for the event. Contact Karen Bolen at Karen.Bolen@ecuhealth.org to start the pre-approval process.
Once approved, you will be notified of the link to register your sponsorship online.
We appreciate payment promptly so that we can provide a quality event. Payments must be received within 21 days of registering your sponsorship for the event. Payment by credit card is preferred.

EDUCATIONAL SPONSOR* - $1,500
*Only available to academic institutions
- Two (2) drink tickets to wine/cheese event

- Ability to provide handouts about your programs
Additional opportunities to all but the educational level of sponsorship include:
- Sponsor-provided PowerPoint slide shown during transition times
- Logo listed under sponsorship level on NCUGM website, opening session slides, and mobile app
- Opportunity to provide a small sponsor-provided giveaway to attendees
If your firm has educational items or products for display (besides swag bag), you may display them in the vendor area. Your staff will be responsible for their personal belongings during the event and the cost and production of all signage, bags, and giveaways/prizes. If you want to leverage audio visual (AV) services from the conference venue, you are welcome to do so at your own expense.
