McLeod Health addressed delays in specialty consult scheduling by redesigning the Ambulatory Referral workflow to meet best practice standards. The initiative introduced a standardized process enabling referrals to be ordered and directly scheduled before the patient leaves the originating clinic. Patients also gained the option to self-schedule via MyChart using ticket-based logic. Through collaboration with clinic managers and AVPs, the team built customized decision trees, grouped subspecialties into intuitive radio buttons, and configured provider pools to ensure accurate routing based on factors like authorization, payer, patient type, and age. The rollout was phased by service line, followed by MyChart ticket scheduling integration. Since go-live on July 7, 2025, 69% of patients have scheduled consults within three days of referral creation, with 36% securing same-day appointments. The result: faster access to specialty care, reduced scheduling burden for clinics, and improved appointment accuracy through intelligent provider matching.
